Customers can manage accounts, services, bookings, appointments, therapists and clinical qualifications through an easy-to-use portal, while staff can align therapist availability with demand and automate the conversion of cancellations into filled appointments. What made the work complex

Clinical-led customer journeys
Customers needed to manage accounts, services, appointments, therapists and clinical qualifications through one clear portal. The workflow had to prevent unsuitable bookings while remaining simple for customers to use.

Urbana is typically booked six to eight weeks in advance. Last-minute cancellations therefore represented both lost revenue and missed customer demand unless available slots could be matched and communicated quickly.

Threadable built a customer-facing portal through which customers can manage accounts, services, appointments, bookings, therapists and clinical qualifications. The experience is designed to be straightforward while ensuring the right clinical information and eligibility checks are applied before treatment.

The internal portal gives Urbana’s teams a clearer view of therapist availability, customer demand, booking activity, deposits and waitlist performance across multiple locations. This helps staff use available capacity more effectively without relying on disconnected or informal processes.
Automating waitlist conversion
Customers can join a cancellation waitlist through the portal or in a clinic. When a suitable slot becomes available, the platform can match it to eligible individuals or customer groups and automate the communication process, replacing a highly manual staff task.
